Who this is

Submission Copilot (“we”) operates this service. Questions about this policy or your data can be sent via our contact form.

What we collect

  • Account info: your name and email address, and either a password (hashed, never stored in plain text) or your Google account identity if you sign in with Google.
  • Content you upload: manuscript files (PDF, DOCX, or LaTeX/.zip) and the sections, citations, tables, figures, and comments extracted from or added to them.
  • Usage data needed to run the product: project/version history, AI review results, and daily AI-call counts (to enforce plan limits).

Cookies

We set one signed, httpOnly session cookie to keep you signed in, and (only during a Google sign-in attempt) a short-lived state cookie used to prevent request forgery. We don't use third-party analytics or advertising cookies.

Who we share data with

Manuscript content and citation text are sent to the following third parties strictly to power the features you use:

  • An AI model provider (OpenAI, Google Gemini, or a similar provider, depending on configuration), to generate your AI review.
  • Academic search APIs (Semantic Scholar, OpenAlex, Crossref, arXiv, CORE) and accuracite.com, to check your citations and ground related-work suggestions in real literature.
  • Resend, to deliver transactional email (welcome emails, magic-link sign-in emails, notification emails you've opted into).
  • Google, only if you choose to sign in with Google.

We do not sell your data, and we do not share it for advertising purposes.

Email

You can opt out of notification emails at any time from your profile settings; we'll still send account-essential email (like sign-in links) regardless of that setting.

Data retention and deletion

We keep your account and project data for as long as your account is active. You can delete your account and everything in it yourself from the Danger zone section of your profile settings. For any other data request, use our contact form.

Changes to this policy

If this policy changes materially, we'll update the date above.
